Every week, we proactively obtain the insurance claims aging report from the Practice Management System (PMS) and follow up with the different dental insurance to ensure timely payment and resolution.
In addition, we provide detailed reports to practices, offering transparency and insights into the status of pending insurance claims. These reports are also updated in the respective patient’s Ledger module within the PMS. We diligently fetch the insurance claims aging report every week, which typically covers a minimum of 21 days, aligning with most dental insurance companies’ payment release policies. This ensures that we capture the latest status of claims.
With this information, we proactively follow up with the different dental insurance to obtain the most up-to-date status of each submitted claim. Our primary goal is to streamline the revenue cycle and minimize payment delays, allowing dental practices to maintain a healthy cash flow.
To keep practices informed and empowered, we provide a comprehensive written Excel report at the end of each week. This report is shared with the Account Receivable (AR) Manager of the respective dental practice, consolidating all the necessary details obtained from different dental insurances.
In cases where claims are denied, we take proactive measures to resubmit them with additional documentation likely to result in payment. To facilitate this process, we require specific access to the PMS from the dental practice. However, we understand the importance of uninterrupted access to the PMS for daily operations. Therefore, we work closely with our clients to establish a mutually agreed-upon time frame for accessing the PMS, ensuring minimal disruption and respecting the practice’s needs.
